Search for Process Files in your Google Drive

All files that are processed as a process in Collavate contains metadata within your Google Drive file. This enables users to search for Collavate process files within their Google Drive.

A. Search Tags in Google Drive #

Documents with applied Tag labels in Collavate are searchable in your Google Drive:

  1. Go to your Google Drive
  2. In the search bar, enter in ctag: without the quotation marks, followed by an existing label name and press Enter
    Ex) ctag:Newsletter
  3. Files containing the Tag Newsletter will appear in your Google Drive

B. Search for Process Files by Status in Google Drive #

Process files contain metadata that can be searched by searching these terms in your Google Drive:

  • Approved Process Files
    • In the search bar, enter in currentapproverclaimedid status: approved without the quotation marks and press Enter
  • Rejected Process Files
    • In the search bar, enter in currentapproverclaimedid status: rejected without the quotation marks and press Enter
  • Process Files currently in Review
    • In the search bar, enter in currentapproverclaimedid status: review without the quotation marks and press Enter

C. Search by Reviewer and Submission Date in Google Drive #

  • Current Reviewer in Process
    • In the search bar, enter in currentapproverclaimedid currentApprover: example@email.com without the quotation marks and press Enter. Replace the email address with the desired person’s email you would like to search.
  • Search Process by Date Submitted
    • In the search bar, enter in currentapproverclaimedid submitted: followed by the year and/or month

Ex) currentapproverclaimedid submitted: 2016-01

D. Open Google Drive files with Collavate App #

  1. Enter one of the above commands in My Google Drive
  2. In the search results, right-click the file you want to run in Collavate
  3. Move your cursor over Open with menu and select Collavate app to launch it
  4. The file is opened in Collavate app and you can see the document and detail process / tag history
