Collavate 5.4.0 Release Notes

New Features #

Assign Google Drive Folders Per Template #

  • Admins can now designate a storage folder for each template via Edit template info > Save Location. This allows submitted documents to be saved in different folders based on the template, enabling a more organized and systematic document management structure—moving away from saving all documents into a single folder.

Collavate Smart Chip Integration in Google Docs #

  • When pasting a Collavate document approval link into a Google Docs, Sheets, or Slides file, the link now automatically converts into a smart chip. With this feature, users can view approval information at a glance while keeping the document cleaner and easier to read.

Enhancements #

Approval #

  • We’ve improved the UI of the approval popup by removing unnecessary padding, ensuring smoother review and approval even on smaller screens.

Admin settings #

  • A new option has been added to set the file extension to follow the serial number in the file name format settings. This helps maintain consistency and readability across document titles.

Others #

  • Updated Collavate’s default UI font to a more modern typeface for improved readability and visual consistency.
  • To prevent admin role gaps, the system now requires at least one admin to be assigned when user permissions are modified.
  • Enhanced internal system security measures.
  • Improved UI/UX of the Document Verification feature.

Resolved Issues #

Approval #

  • Fixed an issue where document access was not automatically revoked from designated recipients when an approval process was reset.
  • Resolved a bug where the approval date of reference files appeared incorrectly (as a past date) during file search.

Posts #

  • Fixed an issue where changes made to the file name in Google Drive were not reflected in the attached files within a post.

Templates #

  • Resolved an issue where private templates converted to domain templates were not properly visible to organizational users.

Admin settings #

  • Fixed an issue where ownership of certain domain templates was not transferred to the new admin when the document admin account was changed.
