Submit your Google Drive files for approval

Using Google Drive allows users from different locations to collaborate in real time. In fact, over 2 billion users create documents using Google Drive every month. However, since Google Drive is primarily designed for user collaboration, conducting electronic approvals using files in Google Drive can take time and effort.

As a result, many users copy and paste files created in Google Drive into separate software used by their organizations for approval or archiving. This process often leads to inefficiencies, especially when updates are made to the Google document, making it difficult to track the final changes accurately. Therefore, global companies operating in multiple countries require a robust system that can manage and approve various documents across different regions and time zones.

Using Collavate enables seamless integration with Google Workspace, allowing electronic approvals based on the Google Drive system. Moreover, the electronic approval options make it easy to control sharing permissions for each approval process, helping relevant stakeholders review and approve documents efficiently. This feature also prevents unnecessary users from accessing and leaking documents. Preparation for Smooth Approval Collaboration #

Receiving appropriate notifications based on the approval process status is crucial to preventing work delays. Collavate supports smooth work collaboration and is available in 12 languages, including Korean, English, Japanese, and Chinese.

Change the default language setting #

You can change the default language settings in Collavate to alter the language displayed in the interface and the language of the notifications received. When you change the default language, all notifications sent from Collavate will also change to the selected language.

  1. Click on the profile image in the upper right corner.
  2. Click on My Account.
  3. Go to the Settings menu.
  4. Open the dropdown menu in the Language section and change to the desired language.

Change notification settings #

You can receive notifications when updates related to you occur in posts or electronic approvals. To change the notification settings for each situation, follow these steps:

  1. Click on the profile image in the upper right corner.
  2. Click on My Account.
  3. Go to the Notifications menu.
  4. Click the dropdown menu for each item to change the notification settings.
  5. Click Save to save the changes.
Note: Some notification items cannot be turned off.

Conducting the Approval Process #

Once all settings are complete, you can easily send review requests for Google Drive documents in Collavate. Users designated as reviewers will receive notifications via email or Google Chat connected to Collavate. If no further review is needed, they can immediately approve or reject the document through the received notification.

Submit documents for approval #

  1. Click ProcessStart Process.
  2. Select the path of the file to be processed and click Open.
  3. Add/edit the approvers.
  4. Once the document editing is complete, click submit for Approval.

Review received documents #

  1. Click the Review button from the email.
  2. If necessary, click the Edit button to edit the document.
  3. If necessary, enter comments in the Process tab.
  4. Click Approve or Reject.
